“Excel is often underrated,” Greg explains. “For quick forecasting or mapping out a project workflow, it’s still one of the fastest ways to get things done. The key is knowing how to structure your spreadsheets effectively.”

  • Great for budgeting, Gantt charts, and reporting

  • Limited collaboration features
  • Can become unwieldy with complex projects

JIRA: Powerful for Technical and Agile Projects

For freelancers working in tech or software development environments, JIRA by Atlassian is a powerful platform for managing Agile workflows, tracking bugs, assigning tickets, and ensuring team alignment. While it’s more robust than Excel, it comes with a learning curve and is typically used in collaboration with other developers or product teams.

Freelancers can create custom dashboards, sprints, and workflows that align with client goals, offering transparency and traceability throughout the project lifecycle.

“If I’m working with a tech team, JIRA is usually the default. It keeps everyone accountable and offers detailed visibility into every stage of development,” says Greg Kutzin. “It’s not just about task tracking—it’s about creating a project ecosystem.”

  • Integrates with GitHub, Confluence, Slack, and more

  • Requires setup and training

3. ClickUp

ClickUp is quickly gaining traction for its “all-in-one” philosophy. It combines docs, project tracking, goal setting, and communication in one platform. Freelancers who wear many hats often find it particularly useful.

4. Notion

Part note-taking app, part wiki, part task manager—Notion is the ultimate customization tool. Freelancers can use it for project planning, client documentation, and more.

5. Smartsheet

Combines the familiar interface of a spreadsheet with powerful project management features. Ideal for data-heavy projects and enterprise-level clients.

Matching the Tool to the Task

The best freelance project managers know that there’s no one-size-fits-all solution. Choosing the right tool—or combination of tools—depends on the project scope, client requirements, and personal workflow preferences.

Greg’s advice? “Don’t force a tool that doesn’t fit. Learn a few platforms really well, and stay adaptable. Being able to switch between systems is a skill clients really value in a freelancer.”
